Invoices
Create an invoice, send your client a link, and they pay by card on a secure page. You can also record cash, check or bank payments yourself.
On this page
An invoice in Nipcy is a page your client opens to see what they owe and pay it. If you have connected Stripe, they can pay by card right there. Find invoices under Manage → Templates → Invoices.
The Invoices page
- Three cards at the top: This Month, Outstanding and All-Time Paid.
- Tabs to filter the list: All, Draft, Sent, Part paid, Paid, Overdue, Void. An invoice shows as Overdue as soon as its due date has passed and money is still owed.
- Each row shows the invoice, the client, the due date, the total and its status. Tap View to open it.
On a phone, some columns are hidden to save space. Open the invoice to see everything.
Create an invoice
- Tap + New Invoice.
- Enter a Title, the Client Name, the Client Email and a Due Date.
- Add your Line Items: a description, a quantity and a price for each. Tap + Add Item for more lines, or × to remove one.
- Under adjustments, you can:
- add a discount: Discount Type Percent or Fixed $ - add Tax % - set Deposit % (0 = full payment required) if the client may pay part now
- Write anything the client should read in Notes to Client.
- Check the Invoice Preview, then tap:
- Save as Draft to keep it without sending, or - Save & Send to email it to your client now. This needs a client email.
From a contract: on a signed contract, tap Create invoice in the Payments panel. The invoice is linked to the contract. If the contract's amounts add up, tap Fill from the contract to copy them in. To split the total into several invoices, use Payment schedule on the contract instead. See Contracts.
Open an invoice
What you can do depends on its status:
- Draft: Edit or Send. Only drafts can be edited.
- Sent or part paid: Record Payment, Reminder, Copy Pay Link and Void.
- Paid: Download Receipt opens your browser's print window. Choose Save as PDF to keep it.
Below that you see the line items, the totals, the payment history and your notes.
Record a payment yourself
If a client pays you in cash, by check or by bank transfer:
- Tap Record Payment.
- Enter the Amount (the amount still owed is shown).
- Pick the Payment Method: Cash, Check, Bank Transfer or Other, and add a note if you like.
- Save. The invoice updates to part paid or paid.
Send a reminder
Nipcy doesn't email invoice reminders to clients for you. Instead, it writes one you can send yourself:
- Tap Reminder.
- The Payment reminder window shows an Email subject, an Email message and a short Text message, each with a Copy button.
- Tap Open in email app to start an email with it filled in, or copy the text message into a text.
Share the pay link
Tap Copy Pay Link and paste it anywhere: a text, a DM, an email. It's the same page your client gets by email.
Void an invoice
Tap Void to cancel an invoice. The pay link then shows the client it has been voided.
What your client sees
Your client opens the link and sees your logo and details, the line items and the total, what's already paid and the balance due.
- Under How much would you like to pay? they choose:
- Pay the deposit (shown if you set a deposit % and nothing is paid yet) - Pay in full - Pay part of it (they type an amount and can pay the rest later with the same link)
- They can Add a Tip (optional): 10%, 15%, 20% or a custom amount.
- They check Charged today and tap the pay button. Card payments go through Stripe and accept Visa, Mastercard, Amex and Apple Pay. The smallest card payment is $0.50.
- They come back to Payment received! It can take a few seconds to confirm. If it says Still confirming, they can tap Check again.
The invoice in your dashboard updates by itself once Stripe confirms the payment.
If you haven't connected Stripe
Your client still sees the invoice, but instead of a card button it says you will arrange payment with them. Collect the money your usual way, then use Record Payment to mark it paid. To take cards, see Getting paid.
Invoices created by a mini session can carry the payment link you set on that session (Venmo, PayPal, Square and so on). Then the client's button goes to your link instead.
Good to know
- Nipcy takes nothing. Card payments go straight to your Stripe account. Stripe charges its normal processing fee.
- Overdue is automatic. You never set it. When the due date passes with money still owed, the invoice shows as Overdue, and goes back to Paid once it's settled.
- Reminders for you: your notification bell reminds you 3 days before an invoice is due, on the day, and at 3, 7, 14 and 30 days late while money is still owed. The reminder for your client is the copy-and-send one above.
- Tips are recorded with the payment and shown separately.
