Contracts
Write a contract once as a template, send it to a client by email or link, and they sign it online in a minute. Signing books the date and creates their gallery.
On this page
A contract in Nipcy is a web page your client opens, reads and signs with their name. You write your contract wording once as a template, then send a copy to each client with their details filled in. Find it under Manage → Templates → Contracts.
The Contracts page
The page has three tabs:
- My Templates: the contracts you reuse. Each one has Edit, Send, Duplicate and Delete.
- Sent Contracts: every contract you have started for a client. Drafts are ones you have not sent yet (Continue Editing or Delete). The Delivered list shows sent contracts with View, Resend and Void. Resend and Void disappear once a contract is signed.
- Starter Library: ready-written contracts you can copy. Tap Use Template and a copy lands in My Templates for you to edit.
Each sent contract shows its status: Draft, Awaiting signature, Opened, not signed, Signed or Void.
Write a new contract
- Tap + New Contract.
- If you already have templates, pick one from Template, or leave it on Blank contract.
- Choose a Type (Wedding, Portrait, Event, Newborn, Family and so on) and give it a title.
- Service Provider is filled in from your profile. To change it, tap Edit profile.
- Fill in Client Information: full name (required), company name, email, phone and billing address. The email is needed if you want Nipcy to email the contract. You can remove the optional fields you don't need.
- Fill in the event: event name, Event Date (required), start and end time, Venue / Location (you can add more than one venue) and an on-site contact.
- Under package details, enter the Total amount and the Retainer due now. The balance is worked out for you. Write your terms in the large box below. If you started from a template and change its wording, a Modified tag appears.
- Add anything extra under Additional Terms.
Nipcy saves everything, including the money amounts, about 2 seconds after you stop typing. You will see Saving…, then Saved. If you leave the page or switch apps before then, it saves on the way out, and closing the browser tab with unsaved changes asks you first.
The buttons along the bottom:
- Save as Template: give it a name and tap Save Template to reuse this wording.
- Save Draft (or Save Changes when editing): keeps it without sending.
- Deliver to Client: sends it. See below.
Send a contract to your client
- Tap Deliver to Client.
- If you changed the template's wording, Nipcy asks what to do: Send this contract only, Update template too, or Save as new template.
- Choose how long the link should say it lasts in Link expires in (7, 14, 30 or 60 days).
- Pick how to send it:
- Send via Email: Nipcy emails your client a signing link. This is greyed out if there is no client email. - Copy signing link: copy it and paste it into a text, WhatsApp or DM. - Share via…: opens your phone's share sheet. This only shows on devices that have one, mostly phones.
Sending from a template: on My Templates, tap Send (or Quick Send to Client inside a template). Enter the Client Name and Client Email, pick Expires In, and tap Send Contract. If the email can't be sent, the signing link appears so you can copy it.
From a client request: on the Sessions page, an enquiry has Turn into a contract. It opens a new contract filled in from the request. Check the package wording before you send it.
What your client sees
Your client opens the link and sees the whole contract. At the bottom:
- They type their Full Legal Name.
- They tick the box to say they have read and understood it.
- They tap Sign Agreement.
Nipcy records the time and their IP address with the signature. They then see Agreement Signed, a copy of the signed contract, and Add to Calendar.
When a contract is signed, Nipcy automatically:
- emails you and your client
- holds the event date on your calendar
- adds the client to your Clients list, or links it to them
- creates a gallery for them
Signing does not take a payment. To collect the retainer, send an invoice (see below).
After it's signed
Open a sent contract to see its page. At the top: All Contracts, Add to Calendar, Share review link (once signed), Export PDF and Void (until signed).
- Export PDF opens your browser's print window. Choose Save as PDF to keep a copy.
- Void cancels a contract that hasn't been signed. The link stops working.
Once the contract is signed you also get these panels:
- Calendar hold: Hold the date stops clients booking anything else that day. Allow bookings that day releases it.
- Payments: tap Create invoice to bill the retainer or balance, or Payment schedule to split the total into several payments. In the schedule, each row is a payment, an amount and a due date. Tap Add a payment for more, then Create invoices. They are created as drafts: open each one to send it. See Invoices.
- What this session has set up: links to the client's gallery and the emails they will get.
Share or revoke the signing link
Under Share this contract you can copy the direct link again, see how many times it was viewed and when, and tap Revoke link to turn it off. After revoking, tap Generate new link to make a fresh one.
The day-of run sheet (Briefing)
Every contract (except void ones) has a Briefing panel for planning the day: a timeline, locations, a must-have shot list and notes. Switch between Run sheet (to read on the day) and Edit (to change it).
To share it with your client, tap Create link under Share with your client, then Copy link. Turn off stops the link working, and Replace with a new link retires the old one.
On a phone or a computer
On a computer the contract sits on the left and the panels on the right. On a phone the panels come first, then the contract. The bottom bar with the save and deliver buttons stays visible on both.
Good to know
- The expiry is a guide. The link says when it expires, but the contract can still be signed after that date. If a client is late, use Resend, or Void it and send a new one.
- No automatic reminders. Nipcy doesn't chase an unsigned contract for you. Use Resend or send the link again yourself.
- Free plan: you can create 3 contracts in total. Drafts count, including ones made by auto-save as soon as you start typing. Deleting one doesn't give the slot back. Templates don't count, so Duplicate, Use Template and Save as Template never use one up. Every paid plan has unlimited contracts. See Plans and billing.
- Contracts from bookings: if a session you sell has a contract attached, Nipcy sends a copy to each client who books it. See Setting up a mini session.
