Sessions and booking requests
The Sessions page is where you answer requests, see who is booked, wrap up finished shoots and ask for reviews.
On this page
Open Sessions from the top menu. Everything clients book or ask about lands here. On a computer the page has two columns; on a phone the same sections stack in the same order.
Start a new session
- Tap + New session.
- Name it. Clients see this name, so make it clear, like "Santa at the barn" or "Spring minis".
- Pick the Day. It has to be today or later.
- Tap Create session.
Nipcy creates the session as a draft and opens it so you can add times, a price and photos. Nobody can see it until you publish it. See Setting up a mini session.
Requests
New booking requests and enquiries appear here, with a count next to the heading.
A booking request shows the client's details and any note they left. You can:
- tap Reply by email or Text them to get in touch first
- tap Accept to confirm the booking
- tap Decline to turn it down. You can add a Reason for declining (optional), then tap Confirm decline
When someone books a slot in one of your mini sessions, their spot is held and the request appears here too.
An enquiry or package request came from your profile or a package page. You can:
- tap Turn into a contract to start a contract already filled in with their details. See Contracts.
- tap Reply to email them
- tap Done when you have handled it. This only clears it from your list; nothing is sent to the client.
When there is nothing waiting, you will see "Booking requests and enquiries land here for you to answer."
Mini sessions
Each mini session you have made shows as a card with:
- Live (on sale) or Draft (not published yet)
- the date and times
- how many slots are open and how many are booked
- the price, or No price if you have not set one
Tap Open to change it. Tap Cancel to cancel it. Nipcy asks first and tells you how many clients are booked. Tap Yes, cancel session to go ahead, or Keep it to back out.
When you cancel, the session comes off sale, every booking on it is cancelled, and each booked client gets an email saying so. If they reply, it comes to your email.
Deposits are not refunded automatically. The money is in your own Stripe account or payment app, so refund it from there.
Weddings and full sessions
Bigger jobs are handled with contracts rather than bookable slots. Every signed contract shows here. Tap Open to see it, or All contracts → for the full list. If you have none yet, Start a contract takes you to a new one.
Booked in
Accepted bookings with a date still to come.
Ready to wrap up
Accepted bookings whose date has passed. When you are done with one, tap Mark complete. This moves it to Past and makes a review link for that client.
Past
Finished and declined bookings, folded away until you open the section. For a completed session you will see Invite your client to leave a review with a share button, so you can send them the link by text, email or any app. The client taps it, picks 1 to 5 stars and can add a few words. Each link works once.
Spots
A list of each mini session's booked clients, with their deposit status:
- Deposit received: they have paid what holds the spot
- Holding, no deposit yet: the spot is held but nothing is paid yet
To free a spot, tap Release spot, then Yes, release (or Keep it to back out). This cancels that client's booking and puts the time back on sale. You cannot release a spot once the deposit is paid; sort that out with the client first.
Stripe banner
If you have not connected Stripe, a banner reads Finish Stripe verification to take payments through Nipcy with a Finish it button. Connecting lets clients pay deposits and invoices by card. You can still take bookings without it. See Getting paid.
Good to know
- Email first: you need to confirm your email address before you can publish a session or make a share link.
- Accepting a request sends the client the "Booking Confirmed" email if you have it switched on in Emails and automations.
- No commission: clients pay you, not Nipcy. Nipcy takes nothing from your bookings.
