Organising your galleries
Galleries live inside groups, and groups live inside folders. Make a folder for a year, a group for each shoot, and a gallery for each set of photos you share.
On this page
The Galleries page is where all your client work lives. It is set out like a filing cabinet with three levels:
- Folders sit at the top. Most photographers make one per year, like "2026".
- Groups sit inside a folder. Make one per shoot or client, like "Smith Wedding".
- Galleries sit inside a group. This is what you share with clients, like "Ceremony" or "Reception".
A group can hold several galleries, so one wedding can be split into parts and still be shared with one link. Open Galleries from the top menu.
Create a folder
- Tap New Folder.
- Type a name in Folder name….
- Tap Create Folder.
If you have no galleries yet, the page shows Create Your First Folder instead.
Add a group to a folder
- Tap the folder's name to open it.
- Next to Groups, tap + Group.
- Type the name and save it.
Add a gallery to a group
- Tap the group's name to open it.
- Next to Galleries, tap + Gallery.
- Type the name and save it.
Galleries can only be made inside a group. Tap the new gallery's name to open it and start uploading. See Uploading photos.
Tapping a folder or group opens and closes it. Nipcy remembers which ones you left open on this device.
Row options: share, move, rename, delete
Each row has a small arrow at its right end. Tap it to show that row's options. They work the same with a finger or a mouse.
For a gallery:
- Share Gallery makes a share link straight away, with a QR code. See Sharing a gallery.
- Move to another group shows a list of places as "Folder / Group". Pick one. You can also choose Ungrouped (no group).
- Rename lets you type a new name. Press Enter or tap away to save, or press Esc to cancel.
- Delete asks you to confirm.
For a group: Share Collection, Group Settings (the gear), Move to another folder, Rename and Delete.
For a folder: Rename and Delete.
What deleting removes
Deleting cannot be undone.
- Deleting a gallery removes all its photos and turns off all its share links.
- Deleting a group removes every gallery inside it, with all their photos.
- Deleting a folder removes every group and gallery inside it, with all their photos.
Download anything you want to keep before you delete it.
Change the order
When a folder or group holds two or more items, each row shows a grip of six dots. Press and drag it up or down, then let go. The new order saves by itself. This works with a finger on a phone and with a mouse on a computer.
Ungrouped galleries
Galleries that are not in any group appear under Ungrouped Galleries. To tidy one away, use Move to another group from its row options.
When a gallery or group has expired
If you set an expiry date and it has passed, a banner appears at the top: 1 collection has expired (or more). Clients can no longer open it, but nothing has been deleted. For each one you can:
- tap +30 days or +90 days to open it again for that long
- tap Pick date, choose a date, then Save
- tap Keep forever to remove the expiry date
- tap Delete, then Yes, delete permanently
Tap the X to hide the banner.
Your photo count
Near the top, a bar shows how many photos you have used on your plan. Every plan has unlimited galleries. The only limit is the total number of photos. See Plans and billing.
On a computer
On a wide screen the page splits in two. Your folders are on the left. When you open a folder or group, its gallery covers fill the right side, showing each gallery's photo count. Tap a cover to open it. You can drag the line between the two sides to make either side wider, and Nipcy remembers the width.
On a phone you see the list only, and a gallery opens full screen.
Good to know
- Row badges tell you what is going on at a glance: the number of photos, Expires or Expired with a date, a lock when a password is on, Live when a gallery is in live mode, and Proofing or Submitted when a client is picking favourites.
- Moving a gallery does not change its share links. Clients keep the same link.
- A group's expiry date and cover are set in Group Settings. See Sharing a gallery.
